Timeback Systems Ltd ("TimeBack", "we", "us") is a New Zealand business providing workflow automation services. Our website is gettimeback.co.nz. This policy explains how we collect, use, and protect personal information in accordance with the New Zealand Privacy Act 2020.

• Booking and enquiry forms — when you book an audit or make an enquiry, we collect your name, email address, business name, and any details you provide about your workflows.
• Email correspondence — if you contact us directly by email, we retain that correspondence.
• Website analytics — we use two analytics tools:
  • Plausible Analytics — cookieless, no personal data collected, does not track you across sites.
  • Microsoft Clarity — records session replays, heatmaps, and behavioural metrics to help us understand how visitors use the site. This data is processed by Microsoft. For more information, see the Microsoft Privacy Statement.

How we use your information

We use personal information only for the purpose it was collected:

• To respond to your enquiry or booking request
• To deliver the services you have engaged us for (Automation Audit, build, Care Retainer)
• To send you information directly related to your engagement (invoices, updates, monthly reports)

We do not use your information for unsolicited marketing. We will not add you to a mailing list without your explicit consent.

Who we share your information with

We do not sell or trade your personal information. We may share it with trusted third-party service providers who help us operate — for example, our booking form tool or email provider — solely to the extent necessary to deliver our services. These providers are required to keep your information confidential.

How we store and protect your information

Personal information is stored securely. We retain it only for as long as necessary to fulfil the purpose it was collected for, or as required by law. When information is no longer needed, it is securely deleted.

Your rights

Under the Privacy Act 2020, you have the right to:

• Ask whether we hold personal information about you
• Request access to that information
• Request correction of any information that is inaccurate or out of date

Our website uses cookies for analytics purposes. Microsoft Clarity uses first- and third-party cookies and other tracking technologies to record session replays and heatmaps. Plausible Analytics is cookieless and sets no cookies. Neither tool collects personally identifiable information. You can disable cookies in your browser settings, though this may affect how the site functions.
